How to Use Trovve's Global Search Feature

Trovve's Global Search feature allows you to find and manage information across Trovve, OneDrive, and SharePoint without leaving Microsoft Teams. This guide will walk you through how to use this powerful tool effectively.

Accessing Global Search

  1. Open Trovve within Microsoft Teams.
  2. Click on the search icon in the main menu.
  3. A slider will open with the search box ready for your input.

Switching Between Trovve and OneDrive/SharePoint Search

Trovve allows you to toggle between searching in Trovve or OneDrive/SharePoint without changing your search keyword.

  • Use the toggle switch at the top of the search box to select your search environment.

Searching Within Trovve

  1. Ensure the Trovve toggle is selected.
  2. Enter your keyword or phrase in the search box.
  3. Results will populate as you type, showing matching tasks, projects, contacts, files, or links.

Refining Your Trovve Search

  • Use the quick filters below the search box to narrow results by item type.
  • For files and links, you can further refine by:
    • Type
    • Project association
    • Category within your team resource section

Searching in OneDrive/SharePoint

  1. Toggle to M365 search.
  2. Enter your search term.
  3. Results will show files and folders you have access to across your entire M365 environment.

Refining Your OneDrive/SharePoint Search

  • Click "More Filters" to refine results by:
    • File type
    • Location
  • Note: M365 searches also look inside files for your keyword or phrase.

Opening Items from Search Results

  • Tasks, projects, contacts, folders, or libraries: Click to display over the search results.
  • Files or links: Click to open in a new browser tab.

Performing Actions from Search Results

  1. Hover over any search result.
  2. Click the action menu icon (usually three dots or a gear icon).
  3. Select from available actions, which may include: For tasks:
    • Add to your day
    • Do later
    • Copy
    • Set priority
    • Delete
    For projects:
    • Pin/Unpin
    • Copy
    • Mark as active/inactive
    For contacts:
    • Add to your day
    • Send email
    • Call follow-up
    • Create task
    • Pin
    • Delete
    For files:
    • Add to a task
    • Add to shortcuts
    • Add to your day
    • Do later
    • Copy file link
    • Share
    • Rename
  4. You can perform multiple actions on the same item or across different items without leaving the search results.

  • Take advantage of the breadcrumb trail in OneDrive/SharePoint results to understand file locations.
