How to Create and Manage Tasks in Trovve

Trovve simplifies task management, helping you stay organized. Follow these steps to create tasks, prioritize them, organize them in "My Day," or schedule them for later.

1. Add a Task

  1. Click the "Add Task" button in the "My Day" section.
  2. Fill out the task form with the following details:
    • Task Name and Description:
      • Enter a task name and description manually.
      • Need help? Use the Get Ideas feature to:
        • Paste notes about the task.
        • Choose between a concise or detailed description.
        • Optionally, generate a checklist based on the task description.
    • Set Priority:
      • By default, the priority is set to Normal (green).
      • To change it to Urgent or Important, click the dropdown menu above the task name and select the desired priority level.

2. Assign the Task

  • Tasks are assigned to you by default.
  • To assign the task to someone else:
    1. Click on your name in the task form.
    2. Search for and select the team member to assign the task.

 

3. Set Task Details

  • Duration: Specify how long the task will take.
  • Privacy:
    • Turn on the Private toggle to make the task visible only to the assignee.
    • Note: Private tasks are only available for non-project tasks. For project tasks, set the project to private to restrict visibility to project members.

4. Link the Task to a Project

  • Select a project from the list of recent projects.
  • If the project isn’t listed:
    • Click Add to create a new project.

5. Attach Files or Contacts

  • Click the Add button to link files or contacts to the task.

6. Add a Checklist

  • You can create a checklist in two ways:
    1. Manually: Click Add Checklist and input items.
    2. Automatically: Use predefined project checklist templates, which Trovve suggests or applies based on the project settings.

7. Finalize the Task

  • Choose where to place the task:
    • Do Later: Adds the task to your To-Do list.
    • Add to My Day: Adds the task to your My Day list.
  • If the task is assigned to someone else:
    • Click Assign to send it to their To-Do list.
    • The assignee will receive a notification in Microsoft Teams.
